Huntington Ingalls Newport News Shipbuilding is on a mission to achieve and sustain world-class performance and maintenance excellence for Facilities Support. Our SAP Plant Maintenance instance is 17+ years old, and the legacy master data are inadequate to support collection of accurate reliability data. Technical manuals and drawings were on a number of media, ranging from paper-based documents to electronic files in multiple formats. Documents were stored in many locations, including vaults, network drives, personal hard drives, maintenance shop bookcases, desk drawers and personal lockers. Our Facilities Asset Mobile Environment (FAME) project encompasses three primary segments: Mobile Hardware, Information and Updated Work Processes. Those updated work processes include taking advantage of several new SAP User Interfaces including Work Manager, Rounds Manager, Fiori and PPM (Portfolio Project Management). The focus today is on the Information segment. Internal to SAP, we have added or updated the Functional Location hierarchy (ISO-14224 compliant), catalog profiles to support assembly selection in Work Manager and equipment status to facilitate reporting. Classification data has been added both to support asset technical data as well as to support work flows in Work Manager. Measurement points on equipment have been expanded to collect results of preventive maintenance activities and operator rounds. Outside of SAP, we assembled equipment-specific technical documentation such as manuals, drawings, preventive maintenance documents, operator checklists and energy control plans in our FAME SharePoint site sorted by SAP Equipment number. This is our Equipment Dashboard, and our technicians can access it with one click from Work Manager. In addition, we have produced over 200 YouTube-style videos that feature our technicians troubleshooting and maintaining our equipment. These videos are managed using Qumu software and linked on the same SharePoint site as our Equipment Dashboard. The videos were developed by our team and include the technicians as actors.This effort has been a big help with culture change. The technicians really enjoy starring in the videos and it unites everybody around a common goal. With on-the-spot access to technical documents and video format instructions, we are improving pre-job briefs; first time quality; and reducing trips back and forth to the shop, thus increasing wrench time.  By using the mobile SAP Work Manager and Rounds Manager apps along with simple, focused enhancements driven by standard SAP master data fields, NNS has created a streamlined user interface at the point of execution. This allows more accurate capture of machine data, allowing more timely decision making in a paperless work order environment.

Eight years after go-live, Fairfax Water realized, with new procurement leadership’s support, that they only scratched the surface when it came to utilizing the integration between SAP Materials Management and Plant Maintenance. Fairfax Water began to make use of contracts, auto purchase orders and online catalog interfaces in SAP to make their system work for them. This led to a more efficient, transparent and streamlined system which also achieved an improved end user experience. As with most companywide changes, there were road blocks and obstacles from employees that are worried about what the future holds for them. Key Takeaways:

MIT Department of Facilities launched a program to modernize its maintenance processes under the Community of Stewardship and Modernization of Service (COSMOS) program. The program was designed to improve materials management, system records and data quality, and mobilize field service technicians through barcoding all the mechanical/electrical/plumbing equipment and deployment of iPads minis. In this session, MIT will share how the journey started with an introspective review of our processes, determination of interdependencies, prioritization of changes, lessons learned and the results we have achieved so far. A significant element of our success and key focus will be on our approach to the implementation and deployment of SAP Work Manager with iPads running in the SAP HANA Enterprise Cloud. Working with Evora IT Solutions, MIT began with a small pilot deployment and systematically rolled out to our full team of 150 service technicians. This has transformed us from using paper to a much more efficient operation. Key Business Benefits:

  • Turnaround time for work orders has decreased from days/weeks to hours/days resulting in better customer service
  • Equipment data and work order history available to trades people

As part of their enterprise wide business transformation program, Xcel Energy moved its field workforce from paper based processes to a mobile solution utilizing SAP Work Manager, ClickSchedule and GIS/Mobile Mapping. The challenge was the 5,500 field workers (employees and contractors) were in five different Business Units (Generation, Nuclear, Transmission, Distribution and Gas Engineering Operations) across eight states and had varying degrees of exposure to mobility and utilized different business processes to execute their work. The solution delivered was a single mobile platform that would work for all employees – from the service technician who interacts with the customer to the nuclear engineer who needs a comprehensive electronic work package to perform details operations in a protected area. In addition to a unified technology solution, Xcel Energy developed a comprehensive end user engagement program to involve those employees in all aspects of the program from early process design, building, testing, device selection, bargaining unit engagement and training. This session will provide an overview of the scheduling and mobility technical and business solution, lessons learned managing remote devices, and the change management program designed to enable a diverse workforce with new technology.

Marathon Oil implemented SAP Plant Maintenance (PM) five years ago at the Eagle Ford asset. By late 2016, lack of material visibility was becoming a major hindrance causing schedules to be missed, materials to be ‘lost’ and costs incorrectly attributed. Marathon Oil began by setting a strategic vision for Materials Management (MM) and PM integration: “Base”, “Value Enhancement” and “Gold Standard” levels of functionality were defined, forming a template for future rollouts into other assets. Challenges included major storage constraints, reuse of materials, ad hoc “walk-ins” and both variable and dynamic work schedules. The challenges called for some innovative solutions, utilizing both standard and custom functionality. A common thread across many organizations, that are in the early years after an EAM implementation, is the realization that their Master Data and Asset Registry needs attention. Denbury Resources was no different. After four years of using SAP EAM, the reports all pointed back to a common theme: their master data, particularly asset registry, was incomplete and inaccurate. Knowing that the asset registry is the cornerstone to solid reporting, budgeting, maintenance and procurement programs, Denbury Resources set out to audit and cleanse their data. Armed with a small team and even smaller budget, high dollar consultants and custom-built applications were completely out of the question. Join this session to hear how the “Accountant” and the “PM Guy” developed a home-grown mobile solution utilizing company owned software and good old-fashioned elbow grease to drive consistency, visibility and usability of a nationwide asset registry.

Enhancing the Plant Maintenance User Experience with ExxonMobil

With an aging workforce and a heavy influx of new users that would be filling key positions in the Manufacturing Business Processes, ExxonMobil Downstream & Chemicals needed a system that was more user friendly and easier to learn. It needed to be uncluttered, easily personalized while not being customized, and allow users to reach proficiency within six months of introduction. ExxonMobil worked with SAP to identify their needs: a solution that was simple for shift workers and infrequent users, preferably a web-based interface that was done on an iPhone or iPad, easy to use, big buttons, and allowed attachments while offline. In addition, they wanted an interface for their key positions that was “one stop shopping”. A “cockpit” of sorts that put the right buttons and indicators within arms' reach of the “pilot” (screeners, planners and execution supervisors). They required access to web apps and other tools via hyperlink, inclusion of industry NORMS in planning, electronic Job Packs, easier service and materials procurement, and troubleshooting aids/indicators. The end result was Fiori/UI5 and NetWeaver Business Client (NWBC). At the time, both solutions came with their own challenges. Fiori/UI5 was so new that they struggled to finds folks that could tell them how best to use it. NWBC was missing some of the functionality that they required in the Plant Maintenance area. ExxonMobil began the task of poking and prodding within the systems to flush out the missing functions and inconsistencies. The result of this effort changed the way ExxonMobil viewed SAP. Bayer always strives to improve their asset maintenance processes to create greater efficiencies, lower costs and eliminate overstock and scrap (time and materials). To drive excellence in asset management, they had to address their issues around lost paperwork, incomplete follow-up work requirements and lack of equipment maintenance documentation. This presented an insurmountable challenge for Bayer that was difficult to overcome. They needed to increase plant and equipment performance, improve workforce productivity and safety, reduce their cost of maintenance, promote a 360° view of operations and reduce unplanned downtime. By creating a mobile environment using electronic records, Bayer was able to achieve their goal. Working in a cGMP environment required them to overcome the challenges of FDA CFR 21, Part 11 compliance with electronic signatures and to ensure integrity of cGMP data and records throughout their lifecycle. Their electronic records needed to be attributable, legible, contemporaneous, original, reliable and accurate. Learn how Bayer initiated a project called WoMa@Pharma, to build upon the SAP Work Manager solution for use in the Pharmaceutical arena. Through this initiative Bayer has enabled their maintenance teams to generate notifications and work orders in real-time. In addition, this project allowed for electronic signatures and automatic time capture of task durations enabling a more accurate planning and scheduling process. Key Business Benefits:

Since 1912, St. Mary’s Cement (SMC) has been a major producer of cementitious materials in the Great Lakes Region. SMC has six plants strategically located to serve customers in Canada and the U.S. and is part of Votorantim Cimentos. As one of the largest cement producers in the world, Votorantim Cimentos operates 25 cement plants in the Americas and has a combined capacity of 28 million metric tonnes per annum. SMC started its Digital Transformation journey in 2016 with a successful Proof of Concept. In June 2017, three months into the project, SMC went live with their mobile application integrated with SAP PM and Beacon technology for field technicians. This was a very strategic project for SMC that was completed on-time, on-budget and on scope. In July 2017, SMC went live with their next mobile application involving safety and other manual entry forms. Now four plants have benefited from the rollout and a couple hundred people are taking advantage of the Digital Transformation. Currently, SMC is implementing a project to establish maintenance business analytics on iOS devices, which goes live in December 2017. This application will offer all management levels an online tool for visibility into their maintenance operations. Now C-Levels will have updated information at a click of a button and access to over 48 KPI’s. A key benefit of SAP is how it creates a line of sight to all work performed on individual equipment assets using work orders. When employees do the work in house, this takes place naturally using time entry. However, when contractors do the work, there can often be gaps in procure external services and the line of sight goes missing. Resident contractors, who use standard SAP and work full time at a manufacturing site, enter their own time directly in SAP since they have the best knowledge of their work, this avoids common errors and inefficiencies when work orders are entered by others such as an admin. This time transfers to Service Entry Sheets resulting in vendor invoices having exact matches. Getting Orders Flowing Efficiently: How UPPCO Transformed their Capital Work Process

Upper Peninsula Power Company (UPPCO) is a regulated utility company serving approximately 52,000 electric retail customers in 10 out of 15 counties in Michigan’s Upper Peninsula. In 2014, UPPCO began the difficult project of upgrading their outdated systems across the entire organization by implementing SAP including SAP PM. Following the implementation, several operational challenges were evident. The biggest being the clogged order process; orders could not be created, created orders could not be used and materials were not consolidated so issuing was problematic. Without first addressing these issues, orders could not be closed in the system. Learn how UPPCO’s project transformed the capital work process so it was operating efficiently and effectively. Using a multi-pronged approach, they integrated the graphical design tool with SAP to produce usable orders and change the way material reservations were relayed to supply to allow for easy fulfillment of materials requirements either internally or from a third party. UPPCO also instituted, within SAP, a project tracking system to ensure all the prerequisites were accomplished and nothing was missed ensuring orders could be settled to the correct asset and meet FERC reporting requirements. Out of the Desk Drawer & Onto a Tablet: Our Story of Asset Master Data Renewal

Huntington Ingalls Newport News Shipbuilding is on a mission to achieve and sustain world-class performance and maintenance excellence for Facilities Support. Our SAP Plant Maintenance instance is 17+ years old, and the legacy master data are inadequate to support collection of accurate reliability data. Technical manuals and drawings were on a number of media, ranging from paper-based documents to electronic files in multiple formats. Documents were stored in many locations, including vaults, network drives, personal hard drives, maintenance shop bookcases, desk drawers and personal lockers.

Our Facilities Asset Mobile Environment (FAME) project encompasses three primary segments: Mobile Hardware, Information and Updated Work Processes. Those updated work processes include taking advantage of several new SAP User Interfaces including Work Manager, Rounds Manager, Fiori and PPM (Portfolio Project Management). The focus today is on the Information segment.

Internal to SAP, we have added or updated the Functional Location hierarchy (ISO-14224 compliant), catalog profiles to support assembly selection in Work Manager and equipment status to facilitate reporting. Classification data has been added both to support asset technical data as well as to support work flows in Work Manager. Measurement points on equipment have been expanded to collect results of preventive maintenance activities and operator rounds.

Outside of SAP, we assembled equipment-specific technical documentation such as manuals, drawings, preventive maintenance documents, operator checklists and energy control plans in our FAME SharePoint site sorted by SAP Equipment number. This is our Equipment Dashboard, and our technicians can access it with one click from Work Manager.

In addition, we have produced over 200 YouTube-style videos that feature our technicians troubleshooting and maintaining our equipment. These videos are managed using Qumu software and linked on the same SharePoint site as our Equipment Dashboard. The videos were developed by our team and include the technicians as actors.This effort has been a big help with culture change. The technicians really enjoy starring in the videos and it unites everybody around a common goal.

With on-the-spot access to technical documents and video format instructions, we are improving pre-job briefs; first time quality; and reducing trips back and forth to the shop, thus increasing wrench time.  By using the mobile SAP Work Manager and Rounds Manager apps along with simple, focused enhancements driven by standard SAP master data fields, NNS has created a streamlined user interface at the point of execution. This allows more accurate capture of machine data, allowing more timely decision making in a paperless work order environment.

City of Cambridge’s Digital Transformation Enables Operations Field Personnel

City of Cambridge, a municipal public entity in Canada, recently implemented SAP S4/HANA 1610 as part of a city-wide ERP implementation project. Making Fairfax Water Great by Leveraging the SAP PM & MM Integration

Eight years after go-live, Fairfax Water realized, with new procurement leadership’s support, that they only scratched the surface when it came to utilizing the integration between SAP Materials Management and Plant Maintenance. MIT’s Journey Through the COSMOS with SAP Mobility & the Cloud

MIT Department of Facilities launched a program to modernize its maintenance processes under the Community of Stewardship and Modernization of Service (COSMOS) program. The program was designed to improve materials management, system records and data quality, and mobilize field service technicians through barcoding all the mechanical/electrical/plumbing equipment and deployment of iPads minis. In this session, MIT will share how the journey started with an introspective review of our processes, determination of interdependencies, prioritization of changes, lessons learned and the results we have achieved so far. A significant element of our success and key focus will be on our approach to the implementation and deployment of SAP Work Manager with iPads running in the SAP HANA Enterprise Cloud. Working with Evora IT Solutions, MIT began with a small pilot deployment and systematically rolled out to our full team of 150 service technicians. This has transformed us from using paper to a much more efficient operation.

Delivering Efficiency & Cost Saving Through Field Force Enablement at Xcel Energy

As part of their enterprise wide business transformation program, Xcel Energy moved its field workforce from paper based processes to a mobile solution utilizing SAP Work Manager, ClickSchedule and GIS/Mobile Mapping. The challenge was the 5,500 field workers (employees and contractors) were in five different Business Units (Generation, Nuclear, Transmission, Distribution and Gas Engineering Operations) across eight states and had varying degrees of exposure to mobility and utilized different business processes to execute their work.

The solution delivered was a single mobile platform that would work for all employees – from the service technician who interacts with the customer to the nuclear engineer who needs a comprehensive electronic work package to perform details operations in a protected area. In addition to a unified technology solution, Xcel Energy developed a comprehensive end user engagement program to involve those employees in all aspects of the program from early process design, building, testing, device selection, bargaining unit engagement and training. This session will provide an overview of the scheduling and mobility technical and business solution, lessons learned managing remote devices, and the change management program designed to enable a diverse workforce with new technology.

A Journey to S4/HANA: Focus on EAM & Materials Management Integration

Incitec Pivot Ltd (IPL) began the journey of moving onto the S4/HANA platform with two separate instances of ECC6 and merging them onto one instance of S4/HANA. IPL has been on SAP for 22 years with varying levels of use and few standard processes. A Home-Grown Mobile Approach that Won’t Break the Bank

A common thread across many organizations, that are in the early years after an EAM implementation, is the realization that their Master Data and Asset Registry needs attention. Denbury Resources was no different. After four years of using SAP EAM, the reports all pointed back to a common theme: their master data, particularly asset registry, was incomplete and inaccurate. Knowing that the asset registry is the cornerstone to solid reporting, budgeting, maintenance and procurement programs, Denbury Resources set out to audit and cleanse their data. Armed with a small team and even smaller budget, high dollar consultants and custom-built applications were completely out of the question. Enhancing the Plant Maintenance User Experience with ExxonMobil

With an aging workforce and a heavy influx of new users that would be filling key positions in the Manufacturing Business Processes, ExxonMobil Downstream & Chemicals needed a system that was more user friendly and easier to learn. It needed to be uncluttered, easily personalized while not being customized, and allow users to reach proficiency within six months of introduction.

ExxonMobil worked with SAP to identify their needs: a solution that was simple for shift workers and infrequent users, preferably a web-based interface that was done on an iPhone or iPad, easy to use, big buttons, and allowed attachments while offline. In addition, they wanted an interface for their key positions that was “one stop shopping”. A “cockpit” of sorts that put the right buttons and indicators within arms' reach of the “pilot” (screeners, planners and execution supervisors). They required access to web apps and other tools via hyperlink, inclusion of industry NORMS in planning, electronic Job Packs, easier service and materials procurement, and troubleshooting aids/indicators.

The end result was Fiori/UI5 and NetWeaver Business Client (NWBC). At the time, both solutions came with their own challenges. Fiori/UI5 was so new that they struggled to finds folks that could tell them how best to use it. NWBC was missing some of the functionality that they required in the Plant Maintenance area. ExxonMobil began the task of poking and prodding within the systems to flush out the missing functions and inconsistencies. The result of this effort changed the way ExxonMobil viewed SAP. Bayer’s Journey to Mobile Maintenance

Bayer always strives to improve their asset maintenance processes to create greater efficiencies, lower costs and eliminate overstock and scrap (time and materials). To drive excellence in asset management, they had to address their issues around lost paperwork, incomplete follow-up work requirements and lack of equipment maintenance documentation. This presented an insurmountable challenge for Bayer that was difficult to overcome. They needed to increase plant and equipment performance, improve workforce productivity and safety, reduce their cost of maintenance, promote a 360° view of operations and reduce unplanned downtime.

By creating a mobile environment using electronic records, Bayer was able to achieve their goal. Working in a cGMP environment required them to overcome the challenges of FDA CFR 21, Part 11 compliance with electronic signatures and to ensure integrity of cGMP data and records throughout their lifecycle. Their electronic records needed to be attributable, legible, contemporaneous, original, reliable and accurate. How St. Mary’s Cement is Embracing Digital Transformation with Mobility

Since 1912, St. Mary’s Cement (SMC) has been a major producer of cementitious materials in the Great Lakes Region. SMC has six plants strategically located to serve customers in Canada and the U.S. and is part of Votorantim Cimentos. As one of the largest cement producers in the world, Votorantim Cimentos operates 25 cement plants in the Americas and has a combined capacity of 28 million metric tonnes per annum.

SMC started its Digital Transformation journey in 2016 with a successful Proof of Concept. In June 2017, three months into the project, SMC went live with their mobile application integrated with SAP PM and Beacon technology for field technicians. This was a very strategic project for SMC that was completed on-time, on-budget and on scope. In July 2017, SMC went live with their next mobile application involving safety and other manual entry forms. Now four plants have benefited from the rollout and a couple hundred people are taking advantage of the Digital Transformation.

Currently, SMC is implementing a project to establish maintenance business analytics on iOS devices, which goes live in December 2017. This application will offer all management levels an online tool for visibility into their maintenance operations. Now C-Levels will have updated information at a click of a button and access to over 48 KPI’s. Keys to Unlocking Time Entry by Contractors to Work Orders Using CATS

A key benefit of SAP is how it creates a line of sight to all work performed on individual equipment assets using work orders. When employees do the work in house, this takes place naturally using time entry. However, when contractors do the work, there can often be gaps in procure external services and the line of sight goes missing.

Getting Orders Flowing Efficiently: How UPPCO Transformed their Capital Work Process

Upper Peninsula Power Company (UPPCO) is a regulated utility company serving approximately 52,000 electric retail customers in 10 out of 15 counties in Michigan’s Upper Peninsula. In 2014, UPPCO began the difficult project of upgrading their outdated systems across the entire organization by implementing SAP including SAP PM. Following the implementation, several operational challenges were evident. The biggest being the clogged order process; orders could not be created, created orders could not be used and materials were not consolidated so issuing was problematic. Without first addressing these issues, orders could not be closed in the system.

Learn how UPPCO’s project transformed the capital work process so it was operating efficiently and effectively. Using a multi-pronged approach, they integrated the graphical design tool with SAP to produce usable orders and change the way material reservations were relayed to supply to allow for easy fulfillment of materials requirements either internally or from a third party. UPPCO also instituted, within SAP, a project tracking system to ensure all the prerequisites were accomplished and nothing was missed ensuring orders could be settled to the correct asset and meet FERC reporting requirements.
