Smarter Data Management for Your Enterprise Asset Data

Data is your company’s most valuable asset, but ensuring master data integrity is a key challenge across all industries, especially those counting on it to help maximize asset uptime, optimize materials inventory, and streamline operations. Your data should fuel trusted cross-functional analytics to drive performance management and business decision-making, so you need to be able to integrate structured data, unstructured content, engineering systems, and machine data captured by the Internet of Things to create one golden record of truth.

To stay operationally efficient, you must base plant and equipment management decisions on data you can trust. With SAPs Master Data Governance, enterprise asset management extension by Utopia and SAP Asset Information Workbench by Utopia, you can create and manage asset master data in the plant maintenance process centrally. The result: effective asset lifecycle management that allows you to leverage accurate master data to anticipate regular maintenance needs, keeping parts handy for necessary repairs, and demonstrating compliance with safety guidelines. Increased visibility into asset lifecycles and raw material usage helps tighten IT resource planning and identify and correct potential risks to product quality or hazardous practices before they degrade performance or profitability.

    This workshop will cover:

    • Elimination of inaccuracies and omissions in master data for asset management

    • Improving the quality of information for managing the asset lifecycle

    • Speeding up the transition between build and operational phases for assets

    • Reducing downtime due to maintenance issues

Johnsonville: Reducing Downtime Through Work Prioritization and Integrated Planning and Scheduling

With the lack of a robust scheduling tool in SAP, the team at Johnsonville consistently found themselves facing challenges with planning and scheduling work effectively. This included doing so without visibility to labor capacity or to production lines that were not available, while also completing certain work orders in an unprioritized way, leading to unplanned downtime when less critical work was completed first. The team determined that a system was needed that could integrate with SAP to provide this functionality and support a better maintenance process.

With a tool selected to provide great visibility and that filled the functional gaps in the desired process, a cross-functional team of operations and maintenance members worked together to design a work order weighting system that all agreed with and helped ensure that the right work is prioritized and completed helping to minimize unplanned downtime.

In this session you will learn from Johnsonville Sausage’s personal experience in:

    • Creating maintenance plans for running and nonrunning maintenance operations

    • Creating a work order weighting structure that can be applied to work orders to ensure the right work is being completed

    • Scheduling of work orders effectively

    • The need to select a software that will support the short-term and long-term needs of the organization

    Key Business Benefits:

    • Better able to schedule work without impacting operations

    • Better prioritization of work orders, reducing unplanned downtime

    • Better visibility and agreement between maintenance and operations on business process and priorities

People, Process, and Technology Converge with Data to Drive Operational Efficiency at Cleco

With roots dating back to 1906, Cleco is a regulated electric power utility company with 775 megawatts of generating capacity, serving hundreds of thousands of customers in Louisiana. With recent acquisitions, the company is continuing to expand its services, products, and geographic reach. One of the greatest challenges of organizational growth is the need to aggregate disparate data from legacy systems. Existing software is 30 years old and is not interconnected. Standard process and procedures were not being followed across the company. Changes to assets were not being updated consistently on drawings or manuals. Documentation is missing from or not easily searchable in the document management system, and task lists were not being updated in the systems. Cleco embarked on a project to rebuild master asset data to governable standards, starting from the field with piping and instrumentation diagrams (PIDs), drawings, asset name plates, barcoding, maintenance plans, bills of materials, and materials. This master data is the foundational digital data at the core of the business that supports business and financial processes across the organization.

Solutions were developed through collaborative workshops to establish leading practices and to then develop the processes to update the existing data to the new requirements. Together, the team implemented the new standards and worked quickly and accurately to identify all existing assets and move them in or out of scope, update drawings, PIDs, and documentation. Each in-scope asset was barcoded to ensure that mobile devices were able to be used to maintain the asset in the future.

With an aging workforce the institutional knowledge needed to be captured digitally and provided to the next generation to ensure knowledge is retained, enabling the long-term success of Cleco in providing safe and reliable power to its customers. Having updated master PIDs is adding value to training, operations, safety, maintenance, and reliability. Cleco is projecting long-term operational cost reduction and increases in operational efficiency.

Puget Sound Energy’s Journey Implementing an Integrated Work Management Solution

Puget Sound Energy (PSE) is an energy company serving Washington state for over 135 years. The company is currently working to enhance the customer experience in order to be the energy partner of choice for its customers. To better serve the external customers, PSE also had to focus on providing its internal customers (people who initiate, plan, schedule, execute, and close work) with state-of-the-art technology and processes.

PSE implemented SAP in the 1980s and has been using the SAP Work Manager and SAP Plant Maintenance solutions ever since. All these years, the focus has been on using notifications to track both scheduling and field execution of work with work orders being the financial tracker. This leads to various problems, such as supporting a non-standard solution, not leveraging industry best practices, having a lot of notification and order types (more than 40 and 170 respectively), multiple work orders to execute a single job, etc.

The Integrated Work Management (IWM) project aims at implementing new applications such as ClickSchedule and SAP Work Manager along with modifying existing applications such as SAP and PowerPlan in order to move to a more industry-wide standard EAM solution. The challenge in front of PSE was how to implement IWM within time and budget allocated without having to completely modify the solution that has been working for the past 20 years. Additional challenges were ensuring that the solution was well integrated with other transformation projects and business processes were defined, keeping the end customer experience in mind and also thinking long term with respect to IT strategy.

Join us to understand how PSE worked on rolling out the solution to one of its business units by consolidating the number of order types and implementing new software components such as ClickSchedule, SAP Work Manager, OpenText, etc. We will cover details around what was implemented, challenges faced, lessons learned, and benefits reaped.

    Key Business Benefits:

    • Moving the organization to an electronic work management process as opposed to existing paper-based processes

    • Increase in productive work time due to automated order creation and scheduling

    • Quick turnaround time to respond to customer issues and easy access to work status as opposed to having to make numerous calls to determine the status of work

Moving Beyond "Standard" SAP to Reduce Business Pain Points

    We’ve all heard the complaints:

    • SAP is too complicated.

    • SAP requires so much training.

    • Getting the information I need is too difficult.

In 2017, Owens Corning formed the Enterprise Asset Management Technology Platform and began gathering pain points from business units. The lengthy list of pain points was prioritized, and it began experimenting with small-scale proofs of concept to prove out possible solutions. Today, it has moved several of the proofs of concept to full-scale deployment to its 70-plus facilities on SAP Plant Maintenance. These include a new document management system, work identification portals, Power BI-based reporting system, and a technician-oriented SAP Fiori® app. The EAM platform now tracks business benefits from these projects to fund additional proofs of concept and improvement projects consistent with the rolling three-year road map.

Come hear how Owens Corning organized its platform, got traction on some initial projects to achieve quick wins, and then sustained that energy by continuing to improve and roll out new projects.

Exploring the Synergies of Maintenance and Procurement Systems

Procurement and maintenance departments alike have pressures and competing priorities that keep planners and buyers very busy. These groups need to communicate closely but both are consumed by meetings, time away from the desk field planning, and time on the phone with vendors, making this task sometimes a big challenge. This presentation will highlight some of the common information that is readily available to exploit by planners and buyers alike. SAP makes the task of keeping informed without talking or dropping by an office while providing simple historical review of procurement and warehouse activities from a maintenance perspective. The presentation will walk through some of the common means of doing just that in additional to looking at ways to enhance your reporting.

From Miserable BoMs to Visual BoMs at Shell Upstream Deepwater Gulf of Mexico

Shell Upstream Deepwater Gulf of Mexico has consistently received feedback that we need to improve our bills of materials (BoMs) to ensure we get the right parts offshore at the right time. Significant man-hours are consumed to research, validate, and order parts for maintenance activities. Inaccuracies in the current material master records (MMRs) and BoMs cause delays, rework, and poor-quality repairs that can result in unnecessary facility maintenance spend, production deferment, and/or regulatory attention. End users have little confidence in existing MMRs and BoMs and often defer to purchasing generic material specified by vendors, sometimes without an outline agreement. But how bad is it? Here are a few statistics:

    • As many as 70-80 percent of all MMRs are inaccurate or duplicated.

    • Over 20 percent of all MMRs have no manufacturer listed.

    • Over 20 percent of all MMRs have no manufacturer part number.

The result is BoM usage hovering around 5-10 percent. So, what is the path forward?

A zero-based BoM project was piloted on one of our offshore platforms. The pilot was designed to incorporate three distinct phases…build, fix, and sustain. The scope of the BoM project includes:

    • Creation of complete and accurate BoMs for centrifugal pumps and some non-solar compressors

    • Creation of an illustrated parts book (visual BoMs) for applicable equipment

    • Adoption of a BoM sustainment program

While the pilot is still underway, thus far the visual BoMs have been very well received by our end users (maintenance planning team members and technicians). It takes the guesswork out of ordering materials and will definitely help eliminate rework and increase maintenance planning efficiency. Over the past three months, we have created illustrated parts catalogs for 35 pumps and one compressor.

    Implementing Equipment Criticality in SAP

The most significant gaps remaining in SAP Plant Maintenance are in basic asset management.  For example, the "ABC indicator" field is supposed to represent the criticality of an asset.  The factors determining ABC indicator often include subjective reasons like "my manager said so" or "production is ticked off." Using SAP enhancements and ISO 31000, we can objectively approach asset risk ranking concerning cost, environmental, and safety impacts.

Once we have an objective way to rank asset importance, we can use this to accurately prioritize the way the rest of the maintenance organization executes their work. One possibility is to ensure parts for critical equipment are on hand.

    By the presentation, attendees will:

    • Learn about asset criticality best practices

    • Be able to implement criticality on equipment and functional location records according to ISO 31000.

    • Learn what's needed to begin a criticality project within their organization.

    • See how equipment criticality is used with equipment bill of materials to ensure spare parts are available for critical pieces of equipment.

    • See how equipment criticality is used to calculate a bad actor score.

MRP: Inventory Management and Work Management Integration

Inventory management and material requirements planning (MRP) utilization are truly dependent on each other. Almost 10 years on SAP and we have realized that MRP driven-demand planning and forecasting continue to feed and impact optimal inventory management techniques. The challenges and business expectations to maintain the right inventory mix at optimal costs to support projects has grown exponentially in the utility industry. It is to be noted that SAP Plant Maintenance work order data quality is a critical contributing factor to MRP in support of best inventory management methodologies, along with MRP materials master data such as lead times, safety stock, and vendor performance.

As Southern California Edison continues its tech journey down the path to SAP S/4HANA®, in collaboration with our work management teams, we refreshed our strategies within IPSEC model when it came to materials master data governance and data quality. We began to start using SAP to effectively manage all our materials master data, MRP settings, procurement, vendors, transmission and distribution (T&D) field needs, and any other discipline that we required. We have made minor business and technology custom enhancements to support better inventory management techniques.

In this presentation, I will take you on the journey that we took to get to a place that has set us up for an environment where we use data management as a strength and to its competitive advantage by integrating with work management to save inventory carrying costs with elevated focus on inventory and vendor management.

    Key Business Benefits:

    • Forecasting of long lead, single, and sole source materials within bills of material (Initiate)

    • Accurate MRP demand signals by closing unwanted reservations (Plan)

    • Material recirculation within the network locations to minimize stock outs (Schedule)

    • Better management of safety stocks, MRP settings, and vendors (Execute)

    • Advanced perfect line rate (PLR) management (Close and Effectiveness)

Know Yourself. Lead Yourself. Lead Others.

Effective leadership is grounded in trust. However, you have to build relationships with those you lead and work with in order to facilitate a culture of trust…and it starts with having a relationship with yourself. You have to know yourself in order to lead yourself; a necessary first step before leading others. Learn how to use a two-pronged, relationship-based approach for being an effective leader. Rooted in a love of self, you must first develop a relationship with YOU. Who are you? What is it that you value? What is your philosophy in life, and thus, your leadership? Second, you need to develop a deeper relationship with those around you. Who are they? What is it that they value? Learn how to deepen these relationships through exercises and affective learning so that you can be a high-performing, trusted, and effective leader.

The AI Goldrush: How Do I Make Money off Artificial Intelligence and Machine Learning?

We’re on the verge of the artificial intelligence (AI) gold rush. And just like past gold rushes that have occurred in the past, a minority of players will make money from finding the gold. Yet, many more will become wealthy by living off the miners with food, supplies, and services.

Corporate innovation centers, startups, and incumbent tech companies have started using AI and machine learning to solve real business problems in domains such as enterprise asset management, procurement, contract management, supply chain management, and across industries such as manufacturing, consumer packaged goods, health care, transportation, energy, and nearly every other industry beyond high tech. The profound transformation for knowledge workers and professionals will be that AI and machine learning doesn’t do their job, but rather, humans will decide when to tell machine learning to do the work. This is a prime example of the human component of machine learning and the importance of creativity when machine learning is in play.

By 2020, experts predict that 50 billion things will become connected to the internet. To put this in perspective, that means nearly seven connected things for every person on the planet. Current predictions are that $19 trillion of value will be created as billions of things, data, business processes, and people become connected.

There will of course be success stories from companies that pan for gold and strike it rich. But the real economic growth will come to those selling the picks, shovels, and jeans equivalents for AI and machine learning.

Digital Innovation: The Kryptonite for Digital Disruption

This session will stretch your thinking about the value and impact of digital supply chains and their implications the supporting innovative technologies have for enterprise asset management. In order to respond to the voice of the customer, we must enable and leverage the “voice of the product.” Emerging digital innovations afford organizations an opportunity to give their assets and products a voice. If you've wondered about the "Amazon effect" and/or “Uberization” and how they’re affecting customers’ and employees’ expectations and behaviors, this is the session for you. This session will highlight three common approaches to digital disruption and present the two most common approaches to implementing a digital strategy, as well as what's needed to make them successful.

Custom to Standard: SAP S/4HANA Plant Maintenance Implementation from a Maintenance and Planner Perspective

Sargento just completed the transition to SAP S/4HANA® in August 2018. One of the goals for the company was to utilize standard transactions and much as possible. Bill’s story revolves around the transition to SAP S/4HANA® from the maintenance and planning perspective. He will detail the process of Sargent’s cutover and the issues that it dealt with as well as the struggles it faced going to standard transactions.

Some of the preparation prior to go-live was to do four separate integration test cycles with super users, going over the basic functions the maintenance group does in SAP. These super users then trained the maintenance group as a whole after validating the testing. Master data was also validated using mock cutovers, looking for anything that errored while loading in the new system. Errors were corrected prior to the final master data load.

In this session, Bill Hasenstein, maintenance planner, will share how Sargento is utilizing SAP Plant Maintenance and what opportunities there are for improvement in the future. Many companies are at various states in their utilization of SAP Plant Maintenance, and this is an opportunity to learn and ask questions for from other companies who are at varying levels.

Hear about lessons learned after go-live, such as insuring compatibility of open work orders, visibility in the new system of goods issue, and reducing manual spot inspection by technicians.

    Key Business Benefits:

    • Successfully implemented SAP S/4HANA® and used standard transactions for plant maintenance

    • All maintenance technicians utilize SAP for paperless work order execution

    • Using stock transports for moving maintenance parts between different plants within the organization

Re-Mobilizing Our Workforce by Changing the Bath Water, Not Throwing out the Baby

As a part of our SAP EDGE project to improve the efficiencies of our operations maintaining our well sites, assets, and unify our corrective and preventive maintenance scheduling, Chesapeake Energy deployed SAP Work Manager to our 800-plus technicians across six states in 2016. While we gained some of the benefits we hoped to achieve, we did not get everything and were questioning the value of our investment. We started down path to evaluate and pilot alternative solutions until a chance meeting at the 2018 SAP-Centric EAM with Evora helped us to understand that the issues we were experiencing were common, solvable, and we could streamline Work Manager to satisfy our users in the field. Join our session to hear the challenges we faced, the many ways we tried to solve them, and how we ultimately turned things around without excessive cost.

    Key Business Benefits:

    • Reduce the number of screens by 80 percent

    • Improve the confidence of our maintenance data captured

A Story of Best Practice and Culture Change During the Jump to SAP S/4HANA

When Precision Drilling embarked on a greenfield SAP S/4HANA® implementation to replace a heavily customized legacy SAP, it adopted the guiding principle of standardising asset management master data and business processes across its global operations.

By using Agile methodology, it was apparent that what might suit one division might not suit all. With differing operating models across the organization, there was a need to scale and adapt to achieve the changes required.

Sharing lessons from its SAP S/4HANA implementation that went live in April 2018, Lisa will examine:

    • Building scalable processes to adapt to variations in the operational model

    • How executive support and business engagement is critical to project success

    • The importance of master data governance to avoid pitfalls in data conversion

    • The challenges with Agile methodology and EAM

Fit for “Our” Purpose Road Map: Making Simple, Yet Significant Change for Business Benefits

Most SAP journeys start out with a period of significant change as the business learns a new system and comes to terms with more integrated processes. Implementation focuses on process and data with little time dedicated to user experience. Three years into Glencore Coal’s SAP journey, the business was comfortable with SAP. However, there was still significant scope for improving user engagement and efficiency.

Having already invested substantially in SAP ERP Central Component, it was important that the solutions would use tools that the organization already owned and could develop itself. Improvements needed to be made without a move to SAP HANA®, SAP S/4HANA®, or required further investment in additional third-party solutions.

Glencore Coal’s next steps were based on a deep dive into its users’ needs and then designed to three core principles: engagement, efficiency, and reinforcing business process.

This session will provide insights on the steps taken:

    • Conducting a company-wide survey to gain insights into user pain points and role-based needs

    • Developing simplified screens in SAP without customizing SAP transactions, upgrades, or testing burden

    • Developing custom dashboards and screens tailored to supervisors’ needs

    • Overcoming technical challenges with SAP Screen Personas

    • Future opportunities for SAP Screen Personas for asset management

Hear practical examples demonstrating how top-down design thinking has provided a path to incremental, user-focused changes. Most notably, these efforts resulted in a 50 percent reduction in transaction time, translating to $500,000-plus of opportunity time back for front-line supervisors at Glencore Coal.

Reducing Unplanned Downtime with SAP S/4HANA Predictive Maintenance and Service

This presentation will show you how IoT reduces unplanned downtime, lowers maintenance costs, and improves your career prospects in an SAP environment. Use IoT for data-driven maintenance planning and execution. Included are insights on obtaining executive support. Case studies will describe implementation and benefits.

Unplanned downtime cascades into a myriad of business problems: lost production, missed promised shipment dates, lower revenue, higher work in process (WIP) inventory, scrapped materials, higher maintenance costs, and safety incidents. Unfortunately, good maintenance execution is facing headwinds. Eighty-two percent of assets have a random failure rate, making preventive maintenance on them ineffective. New equipment is getting more complex and technically sophisticated. And existing equipment keeps getting older. Data-driven maintenance with SAP S/4HANA® Predictive Maintenance and Service allows you to plan repairs when they are truly needed to prevent failures.

This presentation provides an actionable strategy with next steps for those involved in asset management. No high-level fluff and no spin.

    Key Business Benefits:

SAP GIS Integration with Work Manager at Lincoln Electric System

Lincoln Electric System (LES) started looking for solutions that would allow the company to simplify its transmission and distribution maintenance processes and improve the user experience. LES redid its enterprise structure, decided its functional location hierarchy, and worked on its internal maintenance process.

The biggest technology challenges that LES faced to make its new processes work were the following:

    • How can we keep 3 million equipment attributes in sync between GIS and SAP?

      • LES now has a GIS: SAP Master Data integration tool which allows GIS mappers to sync all of their changes to SAP after they are drawn in GIS. This solution went live in May 2018.

    • How can employees not trained in SAP easily create notifications and display work orders from a map?

      • LES developed a GIS-based app which allows users to create notifications for an SAP technical object by simply clicking on a GIS object and entering a minimum amount of data. This solution captures the geolocation of the issue, which is then used by SAP Work Manager to help the technician easily find the issue. This solution also allows the user to display notifications and orders on a map.

How can we make SAP Work Manager user friendly?

    • LES partnered with VESTA to improve SAP Work Manager’s user experience. Small changes on the standard Work Manager screens help non-tech-savvy users feel more confident with the solution.

    Key Business Benefits:

    • Painless data integration between GIS and SAP

    • Easy notification creation and work order display from a map

    • Intuitive SAP Work Manager screens

Creating Enterprise Information Excellence in a Complex Utilities Environment

Every data transformation has its challenges, especially when working with large teams, multiple systems, and tools in a complex utilities environment. When Xcel Energy kicked off its Productivity Through Technology (PTT) initiative in 2012, its goal was to uncover innovative solutions to ease employee work challenges while improving operational reliability. Xcel Energy, with the help of Utopia Global, underwent a data migration in a multi-parallel implementation environment to streamline, simplify, and improve work processes across the company.

    Open Chair Closing Keynote Panel

A new tradition for a historic show. Started at SAP-Centric EAM & Supply Chain in 2018, the Open Chair Closing Keynote Panel is your chance to have your question addressed by the experts on stage. For both days of the conference, you can submit your key pain point or biggest question to the registration desk. During the Open Chair Panel, you’ll see several experts pick topics and offer their thoughts. The twist? There’s one open chair on stage, and if you have a great answer to a question that gets asked, that chair is yours! Share your expertise with the audience and become one of the experts. This is what SAP-Centric is all about—our community shares and teaches one another, helping us all achieve more.
