Developing and Implementing Your Asset Management Data Strategy

Stepping Up to the Challenges When Implementing Your Asset Data Strategy. What exactly does an “Asset Data Strategy” mean to you? What would it mean to develop “your” own? And finally, what would you actually do with it?

In this 4-hour workshop we will answer these questions, and discuss how the decisions made in the past related to strategy have created carry-forward deficiencies in your EAM and SCM processes and business benefits.

Certainly your organization has said “We must plan and schedule preventive maintenance”. A strategy and a decision, right?

  • The “we must” decision is easy to say but the development and implementation of planning and scheduling is easier said than done.

  • However, we are willing to bet there are pitfalls. We are willing to bet you are still trying to get it right.

  • Are your supply processes supporting your strategic plan, or are you constantly rescheduling based on missing parts?

  • Are materials arriving in time or are squirrel stores the norm to ensure available parts?

  • Have you figured out how to transfer the long term preventive maintenance schedule into MRP to ensure effective “on time” sourcing of long lead time parts?

  • Your inventory strategies are still only “reorder point” and “order on demand”, right?

This workshop will provide the game changing insights that you need to overcome the challenges and transform your asset data strategy.

Effectively Align Asset Management and Supply Chain to Improve Planning, Scheduling, and Material Availability

Brought to you by ASUG in partnership with Reveal

Asset management and supply chain are often two worlds that rarely work together, yet they need each other in order to work. In this session, practitioners from both the asset management and supply chain worlds will educate on topics that will not only align these two worlds, but will also break down the siloes, ensure integration, and drive towards business outcomes that will meet the needs of both worlds. These topics will focus on how to standardize, simplify, and stabilize the SAP processes and data flow to ensure alignment between the teams. Learn how to make MRP work effectively for both worlds while minimizing manual intervention, capacity planning, and scheduling and utilizing the SAP best practices. When companies are able to integrate asset management and supply chain in a seamless and integrated way, they see world-class results, such as inventories being the right size, mean time to repair (MTTR) improvements, spare parts availability improvements, and maintenance service level increases.

Key takeaways:

  • Understand how to measure the maturity of each functional area and how well they are working together.

  • Learn how to recognize the root causes for the breakdown of process integration between these two worlds.

  • Establish a clear business case for change by identifying value opportunities by improving functional integration.

How Data-Driven Asset Management Is Maximizing Battle Readiness at Royal Canadian Navy

The Royal Canadian Navy (RCN) manages critical assets such as warships and submarines, which are complex, have a long life span, and require ongoing maintenance. With that criticality comes complex bill of materials, many times containing over 20,000 data objects for each unique asset. This means warehouses of spare parts and inventory, which risk becoming obsolete when something is decommissioned. The RCN was paying for warehouse space and facilities to house parts that may no longer match active equipment, but it had no way to ensure data for the assets was recorded and utilized across the organization. RCN approached data quality one asset at a time. It focused on improving the quality of the master records of the submarines and were successful in improving the data quality from 40% to 98%. This allowed RCN to certify the safety of a submarine in two hours compared to its original timeframe of 30 days by ensuring the right spare parts for equipment were available and ready for use. This incredible result gave the RCN the motivation to start addressing data quality of its other assets and reduce overall spare part inventory over time. This session will focus on the imperative to maximize readiness and optimize asset management operations.

Key Session Takeaways:

  • Improved data quality from 40% to 98%

  • Significantly decreased safety certification times on submarines from 30 days to two hours

  • Reduced overall spare part inventories and costs

Best Practices in Implementing Strategic Initiatives

Many organizations are adept at developing long-term strategies and can even articulate strategic initiatives to promote the efforts. However, research indicates that over two-thirds of major strategic initiatives fail to be executed. This session presents recent research that identifies critical success factors in translating and progressing from strategy to execution. Specifically, the participants will explore the importance of clarity, teamwork, agility, and culture in successfully implementing a strategy. The session concludes with a discussion on a tool to help with “execution readiness.”

Key Session Takeaways:

  • Understand the relationship between setting the strategy and implementing the strategy.

  • Assess the readiness of the organization for execution of a strategic initiative.

  • Identify the key uncertainties in order to build agility into the execution plan.

  • Determine the gaps between the current state of the organization and the optimal readiness state of the organization, and develop actions to reduce the gaps.

Leveraging SAP for the Connected Factory: IoT, Mobility, and Visualization

Toyota Motor Manufacturing Canada embarked on a journey to create a connected factory. A critical piece to this connected factory was the shop-floor integration. Previously, Toyota's data was stored in multiple locations depending on the machine it was coming from, and it was not consistent across the systems and had very little integration between SAP and physical equipment. Since Toyota brought the data into SAP, it now captures each event, allowing technicians to take action via work order while providing far more accurate data for analytics and better decision-making. New sensors have also been added to the equipment to monitor vital signs (vibration, temperature, amperage, etc.), so now when an abnormality occurs, the event is triggered in SAP for the maintenance team to follow up, allowing the plant to be predictive instead of reactive. The organization also implemented the SAP mobile tool and has equipped its maintenance technicians with iPads to complete work orders. The maintenance plans in SAP were transformed to include all relevant details including images, work instruction, previous history, etc. and available to a technician while they are working on the shop floor. The last key part of this transformation was the data visualization. Previously, the organization had standard reporting, which didn't allow for any flexibility or a deeper dive. It is now able to create core data service (CDS) views where teams can slice and dice data, allowing them to make smarter and more informed decisions.

Attend this session to hear how Toyota leveraged SAP to create a more connected factory and what the next steps are.

Key Session Takeaways:

  • Get connected. Get your physical assets talking to your system of record—

  • Mobility is key. Make life easier for technicians. Get better results, better data, and less admin burden for supervisors.

  • IoT/AI is a journey, not a project. Use continuous improvement (Kaizen) to help you get there.

Managing Change and Aligning Inventory and Asset Management

On March 31, 2017, GRU (Gainesville Regional Utilities), a municipal-owned utility provider, reimplemented its financial management information system (FMIS) from SAP ECC 6.0 to SAP S/4HANA. At that time, the plan was to first reimplement its FMIS, then reimplement the customer service program and move on to an asset management program that would all tie in to each other to give a true ERP. GRU’s customer service project is now under way, and asset management is still on the horizon. But in the interim, a lot of the organization has undergone vast personnel changes. These changes have resulted in a waning of proper inventory management by the operations groups, which the organization needed to address first.

Key Session Takeaways:

  • Since change is constant, then addressing change also needs to be constant.

  • Receiving a good understanding of the system you have available may help provide solutions to problems you encounter.

  • Gaining buy-in to any project requires all parties to receive a benefit to them.

Enhancing the Customer Experience Through Last-Mile, White-Glove Delivery

Home delivery of bulky items has become the fastest-growing segment, with consumers becoming comfortable ordering a new couch (and home appliances, etc.) from the comfort of their current couch. Last-mile is high-touch and last-touch, and yet, the delivery service is largely outsourced to third-party providers to represent your brand and delight your consumer. Learn how acting on every unique delivery experience in real time not only improves consumer experience, but is also valuable input to third-party logistics providers’ performance standards.

Key Session Takeaways:

Leveraging User Experience and Mobility at HollyFrontier

HollyFrontier is currently in the process of aligning its refineries into a single instance of SAP Enterprise Asset Management to align its maintenance and supply chain organizations which were previously non-SAP environments. One of the business objectives was to reduce the complexity of high-volume transactions on a desktop or laptop, while enabling a IOS mobile solution that provides the capability of completing the transactions while in an offline mode with the ability to sync when online.

The two target areas of focus include plant maintenance and materials management. The requirements for SAP Plant Maintenance included the ability to navigate equipment hierarchies; identify new work with images; review and approve new work; perform light in-the-field planning; record execution activities such as time confirmations, measurements, and failure codes; access documents associated with equipment and work orders; and perform inspection rounds.

The requirements for materials management included the ability to perform goods issues, goods receipt with image of the packing slip, review and approve purchase requisition approvals, and conduct cycle counting for inventory.

The Hydrogen platform was deployed quickly at the beginning of the blueprint phase in order to play back the conceptual solution and identify areas to enhance to ensure the complete solution was ready for each testing phase. As a result, users are able to carry out testing with less complexity while providing confidence that the solution met the needs of the business.

Key Session Takeaways:

  • Why Rizing's Hydrogen solution was selected

  • How the solution was leveraged early in the EAM design phase

  • Where the solution offers business value

Building Strong Team Dynamics and Culture

Culture is simply an aggregation of the behaviors and attitudes among the people in your group. Leaders significantly influence the behaviors of the team members they lead. Therefore, strong and focused leadership is directly how one builds a strong team culture.

Hear Cliff Williams share his completely different approach to solving the “culture change” issue by using tools that don’t appear in any maintenance and reliability toolboxes. After listening to Cliff, you will understand the importance of relationships and how to focus on creating good ones. You too will achieve world-class maintenance and reliability metrics and numbers—and more importantly driven through a culture of self-management, involvement, and engagement. Job satisfaction, ownership, and pride will become buzzwords among your team.

Cliff’s method involves creativeness. The audience will take away simple mnemonics to help them change not just what they do but also how they do it. Though set in the maintenance world, the lessons and the approaches are equally applicable in any role that involves working with people.

Simply, you can’t do it alone. Harness your people. Come find out how to.
